1. Data Controller Identification

The joint data controllers responsible for personal data collected for SGWC 2027 operations are Timber Exchange / Centersource Technologies AB and Russ Taylor Global.

2. Data We Collect

• Delegate Registration Data: Full name, executive title, corporate email, business telephone, company name, billing address, and industry role.
• Sponsorship & Business Inquiries: Full name, work email, company name, phone number, and WhatsApp contact details collected via sponsorship inquiry forms.
• Financial & Payment Data: Credit card transactions are processed securely directly through Stripe. We do not store or see payment card numbers. Invoice data is processed for corporate SWIFT bank transfers.
• Market Intelligence Data: Benchmark industry data submitted voluntarily under the Market Price Survey Partner Program.
• Event Media & Footage: Professional photography and video recap footage captured during keynotes, panels, and networking functions.

3. Lawful Bases for Processing (GDPR Art. 6)

• Performance of Contract (Art. 6(1)(b)): Fulfilling delegate registration, sponsorship proposals, ticket verification, and venue access.
• Legal Obligation (Art. 6(1)(c)): Maintaining financial transaction records under Swedish accounting law (Bokföringslagen).
• Legitimate Interests (Art. 6(1)(f)): Event documentation, recap reels, sponsorship outreach, and official post-conference market analysis.

4. Event Media Opt-Out Protocol

Photography and media coverage captured in conference public spaces are used for documentation and recap summaries. Attendance is not conditional on photo consent. Delegates wishing to opt out may request a dedicated Opt-Out Lanyard at registration or email [email protected] prior to May 1, 2027.

5. Data Retention & Third-Party Sharing

Personal data is never sold, rented, or commercialized. It is shared strictly with essential operations vendors (Stripe payment gateway, venue access security, and badge printers).

• Tax & Financial Records: Retained for 7 years per Swedish legal requirements.
• Sponsorship & Business Leads: Retained for ongoing event cycle updates and B2B partnership coordination.
• Dietary & Accessibility Data: Permanently deleted within 30 days post-event.
• Alumni Community: Name, corporate email, and company retained for future event invitations (unsubscribe available at any time).

1. Registration & Corporate Invoicing Terms

Registration is valid only upon receipt of full payment. For corporate SWIFT invoice payments, invoices must be settled within 14 calendar days of issuance. Access to the conference will be denied if payment is not cleared prior to Day 1 of the event.

2. Cancellation & Refund Policy

• Cancellations on or before 31st March 2027: Eligible for refund minus an administrative fee of €100 + Swedish VAT per delegate.
• Cancellations after 31st March 2027: All registration fees are strictly 100% non-refundable.

3. Substitute Participants

Delegate substitutions are permitted free of charge until 30th April 2027. Substitution requests submitted after 30th April 2027 incur an administrative fee of €100 + VAT. All substitution requests must be submitted in writing to [email protected].

4. Professional Code of Conduct

SGWC 2027 is a premium C-suite event. Organizers reserve the right to revoke attendance credentials or escort any individual from the venue for disruptive behavior, unsanctioned solicitation, or harassment, without refund.

5. Force Majeure & Modifications

Organizers reserve the right to adjust speaker schedules or program formats if circumstances dictate. In cases of Force Majeure (extreme weather, strikes, public health emergencies, or government restrictions), organizers reserve the right to reschedule or issue non-expiring ticket credits for future editions.

6. Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of Sweden. Any legal disputes shall be subject to the exclusive jurisdiction of the courts of Stockholm, Sweden (Stockholms tingsrätt).

The Sawmill Tour is an optional VIP field excursion scheduled for Wednesday, 26 May 2027 (€300 per seat + VAT).

• Safety Protocol: Attendees must follow all facility safety directions and wear personal protective gear provided on-site.
• Coach Transport: Transfers depart from Courtyard by Marriott Stockholm at 08:00 sharp. Missed departures are non-refundable.

Delegates opting into the Market Price Survey Partner Program receive a 10% discount on standard base tickets in exchange for contributing regional timber benchmark data.

• Data Protection: All submitted benchmark data is strictly anonymized and aggregated for macro market research. Corporate identity is never disclosed.
• Default Adjustment: If a ticket is issued with a provisional survey discount but verified data is not received prior to the cutoff, the 10% discount will be revoked and a standard full-price invoice issued.
